INFORMATION FOR LANDLORDS

With the changing market place of ‘lettings’ we offer a refreshing, flexible service plan to suit your HMO property, studio/flat or whole house.

Regardless of the level of service that you require, we are more than happy to assist and will work with you to deliver exactly what you would like at very favourable rates.

Many High Street Agents steer away from dealing with HMO’s (Houses of Multiple Occupation) with reasons such as ‘legislation is complicated’ or ‘they’re far more ‘management intensive’ than a single let’, Not with Room Rentals, we have set our business up to cater for the HMO landlord and position ourselves as market leaders in the Professional House Share market place across Southampton, Eastleigh, Fareham, Gosport and Portsmouth.

Tenant Find Service (For landlords happy to manage their own houses)

We offer a three-tier service to fit your budget and requirements:

Bronze Package - £250 + VAT (£300.00 inc VAT)

Advertising (including dressing of room for marketing photographs)

Thorough Tenant vetting prior to referral for landlord to do the viewing

Full referencing including ‘Right to Rent’ (following confirmation to proceed from Landlord)

NOTE: Landlord to provide own contract to Tenant and all aplicable documents in advance ofr Tenancy signature.

Silver Package - £350 + VAT (£420.00 inc VAT)

Advertising (including dressing/staging of room for marketing photographs and viewings)

Thorough Tenant vetting and Room Rentals complete all viewings

Full referencing including Right to Rent (following confirmation to proceed from Landlord)

Signing of Tenancy Agreement and Issuing to Tenant of Gas Safety & EPC Certificates, HMO licence conditions, How To Rent Guide, Controlling condensation and mould, Landlord contact details and Rent payment details.

Gold Package - £475 + VAT (£570.00 inc VAT)

Advertising (including Dressing/staging of room for marketing photographs, room dressed for viewings)

Thorough Tenant vetting and Room Rentals complete all viewings

Full referencing including Right to Rent (following confirmation to proceed from Landlord)

Signing of Tenancy Agreement and Issuing to Tenant of Gas Safety & EPC Certificates, HMO licence conditions, How To Rent Guide, Controlling condensation and mould, Landlord contact details and Rent payment details.

Deposit registration (deposit protected with the Deposit Protection Scheme under Room Rentals account)

Check In

Prior to check in full Inventory photographs/report are prepared.

Full and thorough Check-In by a Room Rentals team member completing a full Health & Safety and house orientation, together with any legislation check.  Documentation signed by tenant confirming all aspects of check in procedure.

At the End of the Tenancy

Room Rentals complete a full check-out, dealing with any deposit disputes and liaising with the landlord in preparation for the next tenancy.

MANAGEMENT SERVICE (FULLY MANAGED)

Fees 15.00% of monthly Rent + VAT (18.00% inc VAT) (Includes finding the tenant, referencing, contracts, check in, ongoing managment, rent collection and if required issuing of Sections 21 or Section 8)  -  HMO’s

Fees 10% + VAT (12% inc VAT) for studios and flats (Includes everything from finding the Tenant, referencing, contracts, check in, ongoing managment, rent collection and if required issuing of Sections 21 or Section 8) - Single Let

Tenant Finding Fee for each Tenant is £125.00 + VAT (£150.00 including VAT) - applied on top of any management fee's

When we say full management, we mean a completely hands-off experience for the landlord.

On Call Cover

We provide 24/7 on call for all our Tenants. Tenants have a direct mobile phone access to a team member and we endeavour to respond to out of hour emergencies within minutes.

Maintenance Issues

We assess maintenance issues and any level of emergency (in many cases, we are able to diagnose the maintenance issue and work through a process with the tenant to resolve the issue, thus eliminating unnecessary call out charges for tradesmen),

For maintenance issues that require a tradesman, we will use our qualified trades people (because we give our tradesmen a lot of business due to the volume of houses all discounts they give to us are passed directly to you, we do not add anything ‘little extras’).

From the outset, we will agree with the landlord a ‘property float’ amount to cover maintenance issues. Any maintenance issues that cost in excess of the ‘float’, then we will speak to the landlord first to discuss the course of action.

All maintenance issues are logged together with communication notes/email with the tenants.

Rent collection

We receive and chase any outstanding Rent payment on behalf of the landlord.

Monthly Statements

Breakdown of monthly rental statements including deductions for partial management are sent to the landlord. All very easy to interpret and understand.

Monthly Report/Verbal Reporting

A monthly update report is sent via email following up on our monthly inspections which updates you on management activities over the month. More urgent information is initially given over the phone and included in the monthly report.

NB Issuing of Section 21 and 8 Notices if ever required are covered within the management fee

MANAGEMENT SERVICE (PARTIALLY MANAGED)

10% of monthly Rent + VAT (12% inc VAT).

Tenant Finding Service additional cost is £125.00 + VAT (£150.00 including VAT)

Ideal package for landlords who are happy to deal with maintenance but would prefer Room Rentals to tenant find, complete full and thorough referencing, tenancy agreement, check in and the smooth running of the tenancy during their stay in the house, together with check out.

For maintenance issues that require a tradesman, we will refer this to the landlord, but will send photographs and a verbal/written report to help you assess the situation.

All communication for room access/maintenance updates will be liaised through Room Rentals, so the only concern for the landlord is resolving the maintenance issue.

Full recording of the maintenance issues are logged together with communication notes/email with the tenants.

Rent collection

We receive and chase any outstanding rent payment as part of the package.

Monthly Statements

RENT COLLECTION SERVICE

Rent Collection Only -  7% + VAT (8.4% inc VAT)

If you are struggling keeping up with tenant late payments or just don’t want the hassle of collecting Rent let us collect for you. All administration included and late Rent payers chased.

Residential Single House / Flat / Studio Lettings

We charge a flat rate monthly fee of 12.00% + VAT (14.4% inc VAT) for managing all single let properties.

Our Property set up fee is £350.00 + VAT (£420.00 inc VAT) 

Tenant Finding Fee is £450.00 + VAT (£540.00 inc VAT)

Rent collection only is offered at 7.00% + VAT (8.4% inc VAT)

Inventory from £99.00 + VAT (£118.80 inc VAT)

Check-Out report from £50.00 + VAT (£60.00 inc VAT)

Deposit registration at DPS (£25.00 + VAT (£30.00 inc VAT)

Tenant-Find Service

We provide a thorough Tenant-find service which includes:

  • Marketing your properties/rooms on a variety of web platforms;
  • Marketing photos and, if required, a professional video (additional charge) See examples of videos below:
  • Dressing rooms to maximise the appeal for the tenant.
  • Arriving 20 minutes before a viewing to ensure the communal areas are presentable.
  • Notifying you of a viewing, so you are kept updated, and provide feedback afterwards;
  • Providing a comprehensive and robust referencing service including Right to Rent.
  • Managing contracts (depending on the service you choose)
  • Completing a personal ‘one-to-one’ check-in service for the Tenant with full house orientation covering health and safety and cleanliness (depending on the service you choose)

Management Service

We are happy to find Tenants and manage your properties for you. We offer a flexible management service depending on your requirements.

This service takes away the day-to-day stress of, and responsibility for, your HMO, while allowing you to remotely ‘keep an eye on your property’ if you so wish. We deal with the small issues without contacting or bothering you, but if a maintenance issue requires expenditure over an agreed limit, then we will contact you to discuss and agree an action plan.

WHAT DOES OUR MANAGEMENT SERVICE PROVIDE- OVERVIEW

  • Full Tenant find service (as per our Gold package)
  • Risk-assessments discussed with Landlord (property)
  • Monthly Statments
  • Mid-term property reviews throughout the tenancy
  • Arrangement of maintenance, payment of invoices through rental income
  • At least monthly communal inspections with 6 monthly room checks
  • Monthly utility meter readings and review of utility usage
  • Tenant on call service (tenants have direct access 24/7 to an on-call service with one of the Room Rentals team)
  • Deposit negotiation and return at end of tenancy
  • Receipt of Rent payments and chasing of late Rent payments where applicable
  • Provision of section 8 / 21 notices when necessary
  • Checkout inspection

All Services provided by Room Rentals are Subject to Contract.
